Birmingham Community Partnership Ltd ("BCP", "we", "us" or "our") is a not-for-profit company supporting people and communities in Birmingham.

This notice explains how we handle personal information when someone contacts us, receives support from us, takes part in an activity or programme, or otherwise interacts with BCP.

We only aim to collect information that is reasonably necessary for the support, activity or enquiry concerned.

• name and contact details;
• information about someone's circumstances and support needs;
• disability, health, autism, ADHD or accessibility information;
• housing or homelessness information;
• benefits or financial information;
• employment, education or training information;
• information relating to domestic abuse, VAWG, safeguarding or vulnerability;
• language or communication needs;
• information needed to make a referral;
• records of support or activities provided;
• correspondence, feedback and complaints; and
• monitoring information required for a particular funded programme.

Some people who contact BCP may choose to share sensitive information about matters such as disability, health, domestic abuse, ethnicity or other personal circumstances.

We will only use this information where it is relevant and there is a lawful reason for doing so.

We will not ask people to provide sensitive information simply because it may be useful.

We may use personal information to:

• understand what support someone needs;
• provide information, guidance or practical support;
• deliver workshops, activities, outreach or one-to-one support;
• help someone access public or community services;
• support referrals to appropriate organisations;
• respond to safeguarding concerns;
• communicate about support or activities;
• deal with enquiries, feedback and complaints;
• administer and evaluate funded projects;
• understand whether our activities are reaching the people they are intended to reach; and
• meet legal or organisational requirements.

Depending on the circumstances, we may use personal information because:

• the person has agreed to us using it for a particular purpose;
• it is necessary to provide support or take action they have requested;
• BCP has a legitimate reason connected with its community activities;
• we have a legal obligation; or
• information needs to be used to protect somebody from serious harm.

Most information will come directly from the person concerned.

We may also receive relevant information from:

• a family member, carer or supporter;
• an organisation making a referral;
• a council or other public service;
• a community or voluntary organisation; or
• another organisation involved in providing support.

BCP does not sell personal information.

Where appropriate, we may share relevant information with organisations that can provide further support, such as:

• community and voluntary organisations;
• councils and public services;
• health services;
• housing and homelessness services;
• domestic abuse or safeguarding services;
• education, training or employment organisations; and
• other specialist support services.

We respect people's privacy and confidentiality.

There may, however, be circumstances where information needs to be shared to protect somebody from serious harm or where disclosure is required by law.

This may include concerns involving a child at risk; an adult at risk of abuse or neglect; domestic abuse or exploitation; serious and immediate danger; or another significant safeguarding concern.

Any decision to share information in these circumstances will be considered according to the circumstances.

Some BCP activities may be supported by councils, funders or other organisations.

We may need to collect information to show how many people participated, whether the intended community was reached, what activity was delivered, and what difference the project made.

Where reasonably possible, reporting will use anonymous or combined information rather than identifying individual participants.

We will not treat participation in a BCP activity as automatic permission to publish someone's photograph, video, personal story or testimonial.

Where identifiable material is intended for publicity, we will normally ask permission first.

We will keep personal information only for as long as it is reasonably needed.

How long we keep something will depend on matters such as the type of support provided, whether the work is still ongoing, safeguarding considerations, requirements attached to a funded project, and legal or administrative requirements.

Information that is no longer needed will be deleted, destroyed or anonymised where appropriate.

We take reasonable steps to protect personal information and limit access to people who need it for BCP's work.

We aim to protect information against inappropriate access, disclosure, loss or misuse.

People may contact BCP to:

• ask what information we hold about them;
• ask us to correct inaccurate information;
• raise a concern about how their information has been used;
• ask us to stop certain uses of their information where the law permits; or
• ask us to delete information where applicable.
